Admin & Account Clerk – MegaPack – JHB

Role Definition

The Admin & Accounting Clerk will perform routine clerical, filing, and data entry tasks for administration such as new employee’s forms, purchase of material and groceries for the company as well as accounting data including accounts payable, billing, and receivables.

The Admin & Accounting Clerk also liaise with the external accounting firm for the submission of all bank statement and reconciliation, as well as the submission of all sales and cost invoices pertaining to the period.

Administration related task also include the management and the updating of the Company Inventory List in coordination with the Warehouse Supervisor.

The position requires knowledge of Sage Evolution and familiarity with HR matters.

Job Description

  • Answering customer questions, providing information, taking and processing orders and addressing complaints
  • Answering phone calls and calling customers and vendors to follow up on appointments and deliveries
  • Compiling, maintaining and updating company records
  • Managing office inventory and working with vendors to ensure the regular supply of office materials
  • Setting up appointments, scheduling meetings, distributing reports and managing the correspondence between the office and external bodies
  • Compiling and maintaining records of office business transactions
  • On boarding of new employee (Employee information form; Medical Aid application form and similar documentation)
  • Operating office equipment including printers, copiers, fax machines and multimedia instruments
  • Conducts routine data entry management for accounting records including accounts payable, billing, and accounts receivable.
  • Reviews billing statements, invoices, and similar documents for accuracy; alerts supervisory staff of any discrepancies.
  • Distributes accounting reports as directed.
  • May assist with mail distribution and other clerical tasks as needed.
  • Performs other related duties as assigned.

Changes in role and responsibility will be discussed and agreed upon, before implementation, with reciprocal respect of Company’s interest and needs as well as Employee’s duties and responsibilities.
